Have you ever wrapped up a long day and thought… “I was busy all day, but I’m not sure I made real progress on anything that actually matters?”
I have been there.
There was a time in my career when my days were completely full. My calendar was packed. I was responding to emails, jumping into meetings, solving problems, and supporting my team.
And yet, at the end of the day, I still felt behind.
I remember thinking, “What am I doing wrong? Why can’t I get ahead of this?”
For a long time, I assumed I just needed to manage my time better.
But here’s what I’ve learned, both from my own experience and from coaching so many leaders:
Overwhelm is rarely a time management problem.
It is usually a combination of three things:
- Unclear priorities
- Weak or unspoken boundaries
- Broken or inefficient systems
Let me show you what I mean.
It’s not that you have too much to do. It’s that everything feels equally important.
I remember days when everything felt urgent. Every request mattered. Every meeting felt necessary. So, I said yes. I stayed responsive. I kept things moving.
But I was not always working on the things that truly moved the business forward.
It’s also not that you are bad at saying no. It’s that you care.
You want to be helpful. You want to support your team. You want to be seen as someone people can count on. I have absolutely fallen into that trap, too.
And sometimes, it is not you at all. It is the system around you.
I have worked in environments where roles were unclear, decisions kept getting revisited, and communication was inconsistent. Work would circle back, stall out, or land right back on my plate to fix.
That kind of environment will overwhelm even the most capable leader.
Here’s the reframe I want to leave you with:
If you are feeling overwhelmed, it does not mean you are doing something wrong.
More often than not, it means you are leading in an environment that lacks clarity.
And that is something you can start to influence.
